Who is responsible for your information?
The Valley Suites is responsible for personal information you provide when you contact the venue or submit an event enquiry. You can contact the team at info@thevalleysuites.co.uk.
What we collect
An enquiry can include your name, email address, telephone number, event type, preferred date, estimated guest numbers, catering or décor preferences, and anything you choose to add in your message.
Why we use it
We use this information to respond to your enquiry, discuss availability, arrange a viewing, prepare or discuss a potential booking, and keep the related business correspondence. For ordinary venue enquiries, the lawful basis will normally be taking steps at your request before entering into a contract and, where appropriate, The Valley Suites’ legitimate interests in managing and responding to business enquiries.
How the enquiry form works
The website is not designed to create a separate customer-enquiry database. Cloudflare hosts the website and processes the form request. Valid enquiry details are then passed to a Google Apps Script service, which uses Google’s email infrastructure to deliver the enquiry to an authorised administrator inbox. Cloudflare and Google may therefore process the submitted information as needed to host the website and transmit the enquiry email.
How long information is kept
Enquiry emails and related correspondence are kept only for as long as reasonably necessary to respond to the enquiry, manage a potential or confirmed booking, resolve any follow-up issues, and meet applicable legal or accounting requirements.
Your rights
Depending on the circumstances, you may have rights over your personal information including access, correction, deletion, restriction and objection. To ask a privacy question or exercise a right, email info@thevalleysuites.co.uk. You also have the right to raise a data-protection complaint with the Information Commissioner’s Office.
Cookies and analytics
This version of the website does not install advertising or website-analytics cookies. Links to third-party services such as Instagram, WhatsApp and Google Maps open those services separately and their own privacy terms apply.
